How to open your own Pilates studio?

Pilates studio step by step

Are you considering opening your own Pilates studio? It’s a great idea that will allow you to combine your passion with business, be your own boss, and create a unique place that operates on your terms. It’s an ambitious plan, so before you implement it, it’s worth considering and reflecting on many aspects that can significantly impact your success. Take advantage of our help – we will guide you on how to open a Pilates studio step by step.

Where to start when setting up a Pilates studio? Before making the decision to start your own business, it’s important to analyze not only the key elements but also the less significant details – this will help you prepare for any surprises and eliminate the weak points in your plan. Calculate all costs and plan financing, location, equipment, necessary training, potential hiring of trainers or other staff, as well as the studio name, a matching domain name, and a way to promote it on social media.

However, start preparing for the opening of your own Pilates studio by planning its future location and equipment, and above all, how to finance your business. The costs of the premises and equipment are among the largest expenses associated with launching a Pilates studio. Estimating these costs will be the basis for establishing a budget and preparing a business plan necessary for submitting any loan applications or applications for funding from other sources.

Where to get money for a Pilates studio?

Starting your own Pilates studio involves expenses – for purchasing Pilates machines, equipping and furnishing the studio, as well as monthly fixed costs (including rent, utilities, and employee salaries). Prepare a business plan and think about how to obtain the necessary funds to start your business and ensure financial security for the initial period of the studio’s operation. You can use your own savings and support from loved ones. A good idea might be to form a partnership and collaborate with another trainer, which will allow you to share the costs of setting up the studio and the responsibilities associated with running it, but it will also involve sharing profits.

You can also take advantage of other forms of financing that will enable your start. These include bank loans, loans or grants for starting a business offered by Employment Offices.
Also, pay attention to the possibility of leasing Pilates machines, which will make it easier to cover the purchase costs. If your company does not have a long history, you have a completely new tax identification number, and none of the mentioned options are viable, you do not have to give up on your plans. In that case, choose the convenient option available only from us, equipment rental for Pilates with the option to purchase the machines.

What location for a Pilates studio?

Choosing the place and premises where you will open your own Pilates studio is one of the most important issues – the rent or mortgage payment (in the case of purchasing property) will be the highest or one of the highest fixed costs in your monthly budget. In addition to a classic commercial space, consider the possibility of renting a room in a large fitness club or medical center, as well as a cozy space or converted apartment. You do not need a location in an expensive area in the city center, along the main arteries – Pilates exercises on machines are still offered in few places, so your clients will come even from afar, and they will additionally appreciate the quiet, more intimate character of a boutique studio located in a quieter part of the city. Therefore, the issue of reaching potential clients, appropriate advertising, and conducting promotional activities seems much more important than opening a studio in an expensive location.

How to equip a Pilates studio?

A Pilates studio with machines cannot function without professional equipment that ensures comfort, durability, and reliable operation. Reformers, chairs, barrels, cadillacs, arcs, mats – choose the essential equipment for your classes, determine the quantity and total cost of its purchase. Take advantage of our tips to help you select the best reformer for your studio and our Small Studio Concept – ready plans for equipping a small studio with machines and apparatus starting from even 20,000 PLN (which is the amount you can obtain from funding to start a business from Employment Offices).

However, equipment is not everything. You must provide your clients with comfortable conditions for changing and storing personal belongings during classes – so remember to consider the costs associated with setting up changing rooms and bathrooms. Your Pilates studio should also have a computer; it’s worth considering launching an online booking system. An example of a system that supports Pilates studios is WodGuru.

How to Open a Pilates Studio? Business Activity

If you have secured the necessary funds to run your dream Pilates studio, are properly trained, have found a location, and have equipped it with the best equipment, you have one last step to complete – the formalities related to establishing and registering a business. Below you will find a lot of information related to the procedure of starting a company that all new entrepreneurs must face. If formalities are not your strong suit, it is worth securing the help of an accounting office.

1. Opening the Studio

Opening a Pilates studio does not require obtaining any permits, having the necessary qualifications, or meeting additional requirements. Regardless of whether you choose the most popular form of operation – a sole proprietorship, or you are establishing a civil partnership with a friend, you must fulfill the obligations related to starting and registering a business in the Central Register and Information on Economic Activity required of all new entrepreneurs. However, in the case of a civil partnership, you must also register with the Central Statistical Office in the REGON database.

2. Company Registration

To start a new business, you need to fill out the application for company registration (CEIDG-1). This document can be submitted in person at the appropriate municipal office or sent by mail, as well as submitted electronically (on the CEIDG website and through some banks). In the case of an online application, it is required to have an electronic signature or Trusted Profile.
In the application, you can specify the name of the company and the date of starting the business, which can be later than the day the document is submitted. You must also specify the PKD code related to its type – for a Pilates studio, this will be the activity aimed at improving physical fitness (its code is 93.13.Z).

3. ZUS and US

After registering your company in the CEIDG, the relevant information will be forwarded to the Tax Office and the Social Insurance Institution. In the case of the former, you will only need to register additionally if you are opening a studio in the form of a civil partnership. You should also choose the appropriate taxation method that will allow you to settle taxes as favorably as possible.
On the other hand, you will be automatically registered with ZUS as a contribution payer, and if you did not make a registration for insurance in the application, you will have to do so within 7 days from the start of business by filling out and submitting the ZUS ZUA form (if the studio is the only place of work) or ZUS ZZA (if, in addition to the studio, the owner works elsewhere or benefits from a start-up relief). If you are starting a business for the first time or after a long break from the previous one, you can take advantage of preferential conditions for paying ZUS contributions – a 6-month start-up relief (during this period, only health insurance is required) or reduced contributions for the first 2 years of operation.

4. Other Obligations

Although there is no such requirement for micro-enterprises, it is worth comparing and choosing a business bank account on the most favorable terms before starting your business, which will facilitate settlements related to running a Pilates studio. You should also remember the requirement to have a cash register and to register the sale of services on it. This obligation arises if the annual turnover limit of 20,000 PLN is exceeded (when starting a business during the year, this limit is calculated proportionally to the time remaining until the end of the year).
Also, remember the other obligations arising from other regulations. If you want to provide the right atmosphere during exercises in your studio by playing music of your choice, you will be required to enter into a licensing agreement with a collective management organization for copyright and related rights (ZAiKS and STOART). You will not have to incur this fee if you use music under a free license, which can be found online. An alternative to licensing agreements is also purchasing music packages offered on the market intended for fitness clubs or yoga.
